MEETING ROOM
The public meeting room maybe used for meetings or exhibits as long as the space is not required for library purposes. Library events will be given priority over those of other organizations. If a scheduled meeting must be canceled for library purposes, at least 24 hours notice will be given.
WHO MAY RESERVE THE MEETING ROOM
- The room may be reserved for use by non-profit groups or organizations when no admission charge is made. However, fees may be charged for materials used during workshops, seminars, or classes.
- The room may also be reserved for the presentation of educational programs for employees of commercial firms. However, management must not use the meeting as a sales or promotion type meeting.
- The room may not be reserved for private parties, political rallies, fund raisers, or worship services.
HOW TO RESERVE THE MEETING ROOM
- The room must be reserved as far in advance as possible. Reservations will be taken between 9:00 a.m. and 5:00 p.m., Monday through Friday.
- In fairness to the numerous groups in the community, the library will not accept reservations for a long series of meetings which would designate the library as the regular meeting place for an organization. However, a group may reserve the meeting room on a month-by-month basis.
- An adult member or sponsor of the organization will be required to read and sign a copy of these rules before the meeting.
- Groups using the room after 5:00 p.m. weekdays must pick up a key the day of the meeting and return it by noon the following day. Groups using the room on the weekend must pick up a key by 5:00 p.m. the Friday before and return it by noon the Monday after the meeting.
CONDITIONS FOR USE
- Parking for the meeting room is on Park Street or in the lot on the corner of Alston and Shipp Streets. Parking for the meeting room is not allowed in the Library Staff parking lot or in the parking area for library patrons on Shipp Street.
- Smoking is not permitted anywhere in the building.
- Refreshments are prohibited in the meeting room. Light refreshments are allowed only in the hall outside the meeting room.
- Library personnel will not accept telephone calls for persons in the meeting room. In case of an emergency, messages will be taken and posted on the meeting room door.
- The library cannot provide personnel to assist in the preparation for or presentation of the program.
- Neither Hobbs Public Library nor the City of Hobbs will be responsible for articles lost, stolen or damaged, nor for personal injuries sustained on the premises.
- The meeting room shall be left in the same condition in which it was found.
